Top 10 Frequently Asked Questions

Top 10 - Frequently Asked Questions:

1)  How do I change my major/minor or add/drop major/minor?

Go to the school of your new major or minor to declare it. If changing majors, the new school will request your advising folder from your previous major’s school, complete a degree audit for your new major/minor and assign you to a new advisor.  Minors are not assigned an advisor;  please consult with the school for the minor degree plan.

2)  Can I just re-take a course to replace the previous grade?

As the bulletin states: When students repeat a course for a higher grade, both records remain on the transcript and both grades are calculated in the cumulative GPA. The repeated course is to be counted only once in the cumulative hours earned toward the degree, even though cumulative hours on the transcript and grade reports include all attempts resulting in a passing grade. If the course is in the major, only the higher grade is included in the major GPA.

3)  What is the Pass/No Pass process and what courses may I declare Pass/No pass?

Consult and complete the form from the Registrar’s office which lists all policies related to the declaration: http://www.stedwards.edu/regist/pass.PDF

This is only a summary of the courses which may be declared and the qualifications:

Undergraduate Students: Junior, senior, and post-graduate (completed at least 60 hours) level students may take up to a total of twelve hours on a Pass/No Pass basis. However, such classes cannot be part of the requirements for the major, minor, or any of the following general University requirements: FSTY 1311; FSTY 1313; ENGW 1301; ENGW 1302; CULF 1320, 2321, 3330, or 3331; College Mathematics; Computational Skills; Oral Communication; Ethics; and Capstone Course or Honors Thesis. No more than two classes per term may be taken on a Pass/No Pass basis. A letter of D or higher will count as a pass. Pass/No Pass grades cannot be converted to letter grades and are not included in the GPA.

4)  What about taking courses off-campus?  What is the process to take courses off campus and where do I find the equivalency information?

Prior to registering for any credit-generating course(s) offered at an institution other than St. Edward’s, a student must obtain and complete a Request to Take Courses Off Campus form from his/her academic advisor or the respective Dean’s Office.  The form must list the specific courses to be taken and the St. Edward’s equivalencies, have the appropriate signatures attached, and be on file with 1) the Office of the Registrar, 2) the advisor and 3) the student’s dean, prior to the student’s enrollment at another institution.  It is the student’s responsibility to ensure that these requirements are fulfilled.

NOTE:
Credit may not be retroactively accepted if the student fails to complete this process or enrolls in courses other than those approved by the advisor/dean.
The transfer of college credit from another institution may also be limited by the residency requirement for graduation and the general academic policies of the university.

Additional transfer equivalency info:

Transfer Credit for General Education – Undergraduate Bulletin, Pg. 13-14 (http://www.stedwards.edu/dasx/UndergradBulletin_07-08.pdf)

5)  What if my transfer credit/AP/CLEP credits are not being reflected on my academic record?  Additionally, what is the difference between AP/CLEP credit and exempt/placement?

Transfer credit is credit you have earned from completing a course at another institution.  For specific transfer credit information, please see specific information at: http://www.stedwards.edu/regist/transinfo.htm.  Please contact the Registrar’s Office to see if they have the documentation and it is in the process of being added to your academic record.  If they do not have it, then you do need to request the transcript again through the original institution.

CLEP exams are tests you may take for college credit after graduation from high school.  However, the options are limited and more information must be reviewed at: http://www.stedwards.edu/clep/policies.htm
If you completed a CLEP exam before your admission to St. Edward’s University, you will need to request the test score directly from the College Board: http://www.collegeboard.com/splash/  St. Edward’s University does not grant credit for the CLEP exam from another institution’s transcript, it must be the original test score from the College Board. You must request that St. Edward's University is a recipient of the score when you take it on campus, as well. The report will not be automatically sent unless you request it.

AP exams are taken at the end of an advanced placement high school course.  The exam must be taken to earn college credit.  For AP credit, please see: http://www.stedwards.edu/dasx/exam/ap_test.htm for the tests we accept for St. Edward’s equivalencies.  Again, the test scores must be requested from the College Board website if you did not request the report to be sent when taking the exam: http://www.collegeboard.com/splash/

Being exempt from course work only means that you do not need to fulfill the specific course requirement.  However, this does not mean you have earned credit for the course.  It usually means you need to find a substitution for the course in consultation with your advisor or you will still need to complete the hours in order to meet the graduation requirements of 120 total hours.

For example, the University provides a free, online placement exam for the languages.  This simply tells your advisor what level of language you should take and are exempt from completing.  It does not give you course credit.  However, if you complete the language CLEP exam, you will earn credit hours in the language of choice that correlates with your final score.

6)  How do I calculate my GPA or anticipated GPA?

Use this formula as a guide, filling in numbers from bottom of EdWeb transcript:
Currently: xxx grade points/xxx quality hours=cumulative gpa
Grade points computation:
A = 4 x credit hours of course = grade points
B = 3 x credit hours of course = grade points
C = 2 x credit hours of course = grade points
D = 1 x credit hours of course = grade points
F = 0 x credit hours of course = 0 grade points

7)  What is GDCT 4000 and how does it affect me?

As stated in the course description: Registration in this zero-credit course provides notification to the Office of the Registrar that a student intends to graduate in the current semester. Students planning to graduate may also be required to submit a written application for certification to the dean of the school administering the student's academic major. Although this course does not meet on a regular schedule, graduating students may be contacted by their school dean to meet and review graduation certification procedures. No grade is assigned for this course. It will not appear on the official transcript. A $75 graduation fee will be billed for this course only if the student is not registered for any other courses at SEU during the semester of graduation. Prerequisite: Senior Standing (offered Fall, Spring, Summer)
