E-mail
Retention: E-mail
that is not removed by you is stored on the mail server
for 365 days. Mail older than 365 days will be automatically
deleted.
E-mail Quotas: Mail left on the
server may not exceed the following quotas:
- Students: 100 MB
- Faculty and Staff: 200 MB
Once your quota has been exceeded mail sent to your
account will be returned to the sender with a message
that the recipients mail box is over quota. You can
check your quota by logging into Zimbra WebMail. The
quota status bar is in the upper right hand corner.
How does the quota work?
All e-mail sent to your St. Edward's account automatically goes to the server
mail.stedwards.edu. You then use an e-mail application such as Eudora,
Outlook, Zimbra Webmail or Squirrel Webmail to check your email. If you
use Zimbra or Squirrel Webmail you are working directly off of the mail.stedwards.edu
server and any messages you delete and remove from the Trash are also removed
from the server.
If you use Eudora or Outlook, you need to make sure you are removing e-mail from
the server. If you don't set this up, you will eventually reach your email
quota and will stop receiving messages.
Checking your E-mail Quota
You can check your quota by logging into Zimbra WebMail at https://mail.stedwards.edu.
The quota status bar is in the upper right hand corner.
Instructions for Removing E-mail from the Server Using Eudora:
- Go to the Tools menu and select Options (Windows) or the Special menu and select Settings (Mac).
- Click on the Incoming Mail category (Windows)
or Checking Mail (Mac).
- If you do not want mail stored
on the server at all, uncheck the box next to "Leave
on server". If
you want to leave mail on the server for a limited
amount of days, in order to check e-mail from home
and work, then leave the check next to "Leave
on server" but enter a number of days
(7 - 14 days works for most people) to leave the
mail on the server. On Windows you will need to check
the box for "Delete from
server after ___ days."

- Click on OK to save
your changes.
The next time you check your e-mail in Eudora, mail
older than the number of days you entered will be
removed from the server.
Instructions for Removing E-mail from the Server Using
Outlook:
- Go to the Tools menu and select E-Mail
Accounts.
- View or change existing e-mail accounts should
be checked. Click on Next.
- Click on mail.stedwards.edu and click on the Change button.
- Click on the More Settings button in the lower
right corner.
- Click on the Advanced tab.
- If you do not want mail stored
on the server at all, uncheck the box next to "Leave
a copy of messages on server". If you
want to leave mail on the server for a limited amount
of days, in order to check e-mail from home and work,
then leave the check next to "Leave a copy of
messages on server" but also check "remove
from server after __ days.". Enter a number
of days (7 - 14 days works for most people) to leave
the mail on the server.

- Click on OK to save the changes followed by Next and then Finish.
The next time you check your e-mail in Outlook, mail
older than the number of days you entered will be removed
from the server.
Deleting Messages Using Zimbra Webmail
All e-mail stored on the server may be accessed using
Zimbra Webmail. To delete messages:
- Select the message(s) to be deleted and then click
on the Trash icon. Deleted messages
are simply moved to the Trash folder so you will
also need to empty the Trash folder.
- Empty the Trash by right-clicking on the Trash
icon on under Folders.
Deleting Messages Using Squirrel
Webmail
All e-mail stored on the server may be accessed using
Squirrel Webmail. To delete messages:
- Select messages you wish to delete from any folder.
To select all messages on a page, click on "Toggle
All".
- Click on Delete. Deleted messages are moved to
the Trash folder.
- To empty the Trash folder, click on (purge) to
the right of Trash.
