The Restricted
e-mail aliases allow faculty and staff, who have requested
to be on the restricted alias list, to send e-mails to large
groups of students by program, major, school, on-campus residence,
or to specific mailing lists defined under EdWeb. The policy
below governs the use of these aliases. It also outlines
the process for requesting to be added to the restricted
list and for sending outgoing email to those lists.

Restricted E-Mail Policy and Procedures
---------------- Policy Changes Spring 2002 -------------------------------
1. Those on the allowed list will no longer receive copies
of mail to the restricted list send by other users.
---------------------- Policy Additions -- Fall 2000 ----------------------
1. The absolute max number of mass emails to students about
any one event should be 2. Preferable only one message should
be sent.
2. General messages should be absolutely limited to one per office per week.
3. Users who routinely exceed these messages limits will be warned and if the
excessive activity continues may be removed from the access list.
4. Messages specifically targeted to smaller groups (for example all history
majors) would not be included in the above restrictions.
------------------ Mass Email Policy -----------------------------------
Effective Monday, November 16,1998 we're instituting a new
email policy/process that we hope is user-friendly and attempts
to do three things:
1.) restricts the number of mailings that go out to all
of our students, 2.) raises the awareness of the senders
of student email about the volume of email that students
receive, and 3.) encourages senders to 'target' their email
to selected students who are the most likely audience. For
example, emails about events in the residence halls should
only be sent to residents, using one of the new resid.<residence
hall> aliases listed below.
Process:
1. We are establishing a list of people who will have the
ability to send email messages to the entire enrolled student
body, or to significant sub-groups of the student body.
2. To be on the list, all you have to do is ask--by sending
email to Ray Spinhirne, Director of Computer Services (rays@stedwards.edu).
The 'script' that sets you up on the approved list has to
run overnight, so be sure to submit this request a day in
advance. To ensure a relatively smooth transition, we have
already given VP's and Deans access to these aliases.
3. When you email to get access, Ray will send you a copy
of this policy.
4. We want to encourage staff and faculty to target their
email messages to selected groups of students. We have already
created several new system aliases to help you target your
email more effectively. They are listed at the end of this
email message.
Send messages related to traditional undergraduates to the
alias 'program.trad', for example. If there are subsets of
students for which no alias currently exists, please email
this request to Ray, and if it is possible, he will set up
a list.
Please encourage student organizations to post routine announcements
on their organization web page.
5. All other lists, including listings
for those enrolled in a particular course (classs aliases),
are not affected.
