This year’s St. Edward’s University Homecoming is a week-long virtual celebration with over 20 events, many of which will be hosted on Zoom.  Join in on the festivities with our Zoom Help Guide.  Here you will find answers to frequently asked questions about the video conferencing platform, Zoom. 

Basics

Where can I find Zoom links for my events? 

Zoom links will be sent via email from seualumni@stedwards.edu prior to each day’s events throughout Homecoming week.  Be sure to keep an eye on your inbox for this important information.   

Having trouble locating your event confirmation email?  Be sure to check your spam folder or email seualumni@stedwards.edu for assistance. 

Do I have to have a webcam to join an event on Zoom? 

You are not required to have a webcam to join an event on Zoom.  However, a webcam would be necessary in order to transmit a video of yourself.  Without a webcam, you will be able to listen, speak, and view the webcam video of other participants.   

Do I have to download Zoom to join the Homecoming virtual events? 

You are welcome to access Zoom through a web browser.  In a web browser, you can use some of Zoom’s features without downloading plug-ins or software.  However, the web client has limited features.  Google Chrome is the only browser that will allow you to join the computer audio for Zoom meetings. You may still be able to use your phone to dial into the event. 

To join through your browser: 

  1. Click the link in your email confirmation to join the event.  An option “Join from your Browser” may appear automatically.  If not, click download and run Zoom. 
  2. The option “Join from your Browser” will then appear underneath the download and run Zoom link. 
  3. Click “Join from your Browser” instead of “run the installer” for the desktop application 
  4. You may be prompted to sign in and enter your name and email. 
  5. Click “Join” to be taken into the event. 

Getting Started

Where can I find the Homecoming Zoom backgrounds?   

The special Homecoming Zoom backgrounds can be found here. Click or tap the thumbnail image to enlarge. From there you can right-click to save the file to your desktop. On mobile devices, tap and hold for a save option.  The Homecoming Zoom backgrounds are a fun way to bring a bit of the Hilltop to your desktop but they are optional to use. 

How do I change my virtual background before the event? 

Note: You will need to have a Zoom account to change your virtual background before an event.  Virtual backgrounds are optional. 

  1. Log in to the Zoom application. 
  2. Click your profile picture on the upper right corner, then click “Settings”. 
  3. In the left menu bar, click on the Virtual Background tab (if you don’t see this tab, log in to the Zoom website, go to settings, and toggle on Virtual Background). 
  4. In the Virtual Background tab, click the + icon to upload one of the Homecoming backgrounds from your computer. 

How do I add or change my profile picture before a meeting?   

Note: You will need to have a Zoom account to customize your profile picture.  A custom profile picture is optional. 

  1. Log in to the Zoom application. 
  2. Click your profile picture on the upper right corner, then click “Settings”. 
  3. Click “Profile”, and then click “Edit My Profile”.  You will be directed to your profile page on web. Click “Change” under the profile picture. 
  4. Click “Upload” in the lower-left corner. 
  5. Adjust the portion you would like to use for your profile picture. Click “Save”. 

How do I test my video/audio before joining an event? 

Note: You will need to have a Zoom account to test your audio and video beforehand.  

  1. Log in to the Zoom application. 
  2. Click your profile picture on the upper right corner, then click “Settings”. 
  3. Click “Video” under the setting to test your camera. You can also text your mic and speaker under the “Audio”. 

How do I join an event? 

You will receive a confirmation email with details on how to join the events you have registered for.  You can click the link, copy the link into your browser, or enter the meeting ID number after selecting “Join” in your Zoom application.  You may also need the password for certain events to join.  Passwords will be in your confirmation emails.   

After you click the link, you will either be instructed to download or launch Zoom.  Click “Open Zoom” if you have already downloaded the application.  Otherwise, you can join from your computer’s web browser.   

Click “Join with Computer Audio”.  After joining, please click “Start Video” in the lower-left corner of your screen.   

Can I join an event from my phone? 

We suggest using a laptop or tablet for a more engaging virtual Homecoming experience, you may also join a meeting from your smartphone by following the instructions below. 

  1. Open the Zoom mobile application. If you have not downloaded the Zoom mobile application yet, you can download it from the application store on your device. 
  2. Join a meeting using one of these methods: 
  3. Tap Join a Meeting if you want to join without signing in. 
  4. Sign in to Zoom then tap Join. 
  5. Enter the meeting ID number (this will be in each of your event’s confirmation emails) and your display name. 
  6. Select if you would like to connect audio and/or video and select Join 

Can I join a Zoom event after it starts? 

Yes!  Please follow the registration link and you will be prompted to enter your information to join. 

During The Event

How do I turn my audio/video on and off? 

You can turn on and off your audio/video by clicking “Mute/Unmute” and “Start Video/Stop Video” from the lower-left corner of the screen. St. Edward’s University’s default security settings are for the host and participants to join with their video off. After joining, please click “Start Video” in the lower-left corner of your screen. 

How do I rename myself? 

  1. When in a Zoom event, click on the “Participants” icon at the bottom of the window. 
  2. Click “More” next to your name. Then, a “Rename” option will show up. 
  3. Type your preferred name and graduation year(s) in the box.

How can I chat with others during an event? 

  1. When in a Zoom event, click the “Chat” icon at the bottom of the meeting screen. 
  2. The chat screen will open on the right. You can type your message into the chat box. You may also select a specific person to send a message to by clicking on the “Everyone” drop menu and selecting the specific person.  *Please note: all chats will show up in the post-event chat transcript. 

How do I add or change my profile picture during an event? 

Note: You will need to have a Zoom account to customize your profile picture.  A profile picture is optional.   

  1. Click the three dots next to your video screen, then, click “Add Profile Picture”. 
  2. You will be able to choose a picture from your computer. 

How do I change my virtual background during the event? 

  1. Start your Zoom meeting. 
  2. Locate the video camera icon that says “Start Video” and click on the up arrow next to it. 
  3. Select “Choose Virtual Background”. 
  4. Click the “+” (plus) symbol to upload your custom background. 
  5. Uncheck “Mirror my video” and if you do not have a green screen, uncheck “I have a green screen”.
